After Hours Answering Service

Your phone rings at 11pm. A tenant with no heating, a patient who sounds frightened, a customer whose job is worth five figures. Right now that call goes to voicemail, to a rota nobody wants to be on, or to an answering service that knows nothing about your business.

We build after hours answering services that pick up every call, work out what’s actually urgent, and get it to the right person — or take a proper message for the morning.
After Hours Answering Service

An after hours answering service answers your business phone outside working hours — evenings, nights, weekends and holidays. It handles routine calls end to end, decides which callers need someone woken up and which can wait, escalates genuine emergencies to your on-call contact, and logs everything else for the next working day. Ours is an AI voice agent, built and tuned around your escalation rules rather than configured from a template.

Reading about a voice agent tells you very little.
Calling one tells you everything.

Amy asks a few questions about your business, then switches into a live demo built around what you’ve just told her.
Play your own customer. Book something, change it, then ask for something awkward and listen to how she escalates.
The voice is the easy part. Pay attention to what happens when you interrupt her, or ask something she wasn’t expecting.
Hi, this is Amy from AI Agency Plus. Before I show you anything, tell me a bit about your business — what happens to your calls after you close?
Hi, I’m Sarah from Sarah’s Dental Practice. They go to voicemail and we pick them up in the morning.
Amy: Then let’s try the call you’d least want to miss. Ring back and play a patient with severe pain at 2am — I’ll take you through what I’d ask, what I’d book, and when I’d wake your on-call dentist instead.

What it handles

Out of hours, most calls fall into four buckets. The job is telling them apart.
01

Genuine emergencies

A burst pipe, a vulnerable person in distress, a system down. These need a human now. The agent recognises them, escalates to your on-call contact, and confirms the handover happened — it doesn’t assume someone picked up.
02

Urgent but not emergencies

A cancellation for tomorrow’s first appointment, a delivery problem, a booking that needs moving. Handled directly where we’ve given it the ability to act, flagged as priority where we haven’t.
03

Routine questions

Opening hours, prices, whether you cover a postcode, how to reset something. Answered from your own information, not a generic knowledge base.
04

Everything else

Captured properly — who called, what they wanted, what they expect to happen next — and waiting in your inbox at 8am rather than as a voicemail nobody transcribes.

The split between these four is the whole product. Anyone can answer a phone at 3am. Knowing which of those calls justifies waking your operations manager is the difficult part, and it’s the part we build around your business specifically.

What it won’t handle

Most vendors skip this section. It’s the one worth reading.

It won’t make judgement calls we haven’t agreed

If a caller presents something outside the rules we’ve mapped, it escalates rather than improvising. That means occasional escalations you’d have preferred it absorbed. We’d rather that than the reverse.

It won’t pretend to be human

If asked, it says what it is. Callers who want a person get routed to one. Trying to pass as human backfires the moment it doesn’t, and in regulated sectors it’s a liability.

It won’t replace clinical, legal or safeguarding judgement

In care and healthcare settings the agent’s job is triage and handover — recognising urgency and reaching the right person fast. Assessment is not its role and we don’t design it to be.

It won’t handle high emotional complexity well

A grieving family, a caller in crisis, a genuinely angry customer with a complicated history. It will recognise these and hand over. It will not resolve them.

It won’t fix a broken escalation chain. If nobody answers the on-call phone at 2am, an AI answering service surfaces that problem — it doesn’t solve it. Several clients found this out in week one, and fixing it was worth more than the software.

Built From Your Data, Not Our Template

What we build, and what that means

There are two ways to get an AI answering service. One takes an afternoon. The other starts by working out what actually happens after 6pm.

Sign Up To A Platform

You configure it yourself, point your number at it, and it starts answering. From around £49 a month, live the same afternoon, cancel whenever.

For a lot of businesses that’s genuinely the right answer — one location, predictable calls, one person to ring. If that’s you, we’ll say so and tell you which platform to use.

What you don’t get is anyone asking how your out-of-hours actually works. You bring the answers; the platform brings the form to type them into.

What We Work Out First

Which caller types you actually get after 6pm
Which of them justify waking someone
Who gets called, and in what order
Complaints traced back to unreturned calls
What happens when they don’t pick up
How many calls you’re currently missing

What We Then Build

Escalation paths from your real call history
Connections to the systems you already run
Fallback chains that don’t stop at one contact
Rules tuned against live calls in weeks four to eight
Monthly review as your business changes

How setup works

Week one – mapping
We go through your out-of-hours calls: what comes in, what’s urgent, who currently handles it. Usually this surfaces things you didn’t know, like how many calls you’re actually missing.
Week two – build and test
We build the agent, connect it to your calendar, CRM or job system, and test it against real scenarios from your own history rather than invented ones.
Week three – live, watched.
It goes live with every call reviewed. We tune the escalation rules based on what actually happens, because the first fortnight always teaches you something the mapping didn’t.
Weeks four to eight – optimising against real calls.
This is where the agent gets genuinely good. We listen to live calls and refine against the situations nobody predicted: the caller who buries the emergency in the third sentence, the regular who rings about three things at once, the accent the agent keeps mishearing.

Escalation thresholds get adjusted where they’re firing too often or not often enough. Most of the difference between an agent that works and one that frustrates people is made in this window, not at build.

Ongoing Support. Monthly review of what it handled, what it escalated, and what it got wrong. Escalation rules change as your business does.

Industries we work with

Out-of-hours calls look different in every sector. So do the escalation rules.

Property Management

Every tenant call after six is the same question: a contractor tonight, or a work order tomorrow?
Escalation thresholds from your own callout history
Emergencies reach the contractor; the rest waits
Work orders raised straight into your system
Fixed monthly cost however busy the weekend

Plumbing & Trades

The emergency is a callout. The boiler enquiry at eight on a Tuesday is worth three thousand.
Emergency thresholds built from jobs you attended
Real emergencies reach the on-call engineer tonight
Quote enquiries captured before you are up
Fixed monthly cost however bad the weather

Legal & Law Firms

A name and a number is worth almost nothing. A properly captured matter is worth a case.
Intake questions written by your practice area
Urgent matters reach the on-call solicitor immediately
Conflict checks asked before anything else happens
Straight into your case management, not voicemail

Emergency Restoration

Clean water that sits long enough stops being clean, and the first firm to answer gets the work.
Mobilisation thresholds from your own job history
Active losses reach the on-call crew tonight
Adjuster instructions captured with claim and peril
Fixed monthly cost whatever the weather does

IT Support & MSPs

Is it a P1, or a ticket that thinks it is? That decision is already your own product.
P1 thresholds taken from your actual contracts
Real incidents reach the on-call engineer immediately
Everything else becomes a properly prioritised ticket
Connected to your PSA, so nothing is retyped

Holiday Lets

Every out-of-hours guest call is really a question about a review you have not had yet.
Your property notes, so most calls end there
Real problems reach you or your local contact
Enquiries captured with dates and party size
Fixed monthly cost through peak and quiet

Fire & Security

Three false calls in a rolling year and your client loses their police response entirely.
Your property notes, so most calls end on the call
Confirmation rules from your own activation history
Real events reach the keyholder; faults wait
False call counts tracked against the threshold
Fixed monthly cost however many activations arrive

Facilities & Cleaning

Most of your night calls are not clients at all. They are your own people, working alone.
Escalation built around your lone working procedure
Staff at risk reach a supervisor fast
Reactive work logged against the right response window
Site notes loaded, so access calls end there

Plant & Tool Hire

Miss the off-hire at six on Friday and you win a weekend, then lose the account.
Off-hire rules and cut-offs from your terms
Off-hires timestamped the moment they are called
Breakdowns reach the on-call fitter with details
Fixed monthly cost however busy Friday gets

Frequently asked questions

How much does an after hours answering service cost?
Ours starts at £349/month ($449) plus a one-off build fee from £1,500 ($1,950), waived on a 12-month commitment. Traditional human answering services typically start around £160–210/month but charge per call or per minute on top, so a busy month costs more. Self-serve AI platforms run £25–199/month if your out-of-hours is simple enough not to need a build
For predictable, high-volume out-of-hours calls, usually yes, it answers every call instantly, never has a bad night, and costs less. For low-volume calls with high emotional complexity, a human service is still better. Most of our clients use AI for the bulk and route the exceptions to a person.
It escalates according to rules we agree with you, and confirms the handover landed. If your escalation contact doesn’t pick up, it follows the fallback chain. It doesn’t guess.
Voice quality across the major platforms is now close enough that it’s rarely the deciding factor — callers generally can’t tell during routine interactions. What still varies a lot is how well the agent handles interruption, accents, and being asked something unexpected. Test those, not the voice.
Yes, and several clients do — AI for the bulk of out-of-hours volume, humans for the exceptions. It doesn’t have to be all or nothing.
If they ask, yes. We don’t build agents that claim to be human.
